Each person signs in as themselves and sees only their own. This is what they can do there, and what stays with the office.

Their day

Check in and out
From the office system in their phone’s browser, or on a computer. Their location is recorded every time, and a selfie is taken where you have asked for one.
Where they may check in
Where you have set a location check-in zone for them, a check-in from outside it is refused. Work from home records the location without holding them to it.
Their own attendance
Every day’s check-in and check-out, with the location and the selfie that went with it.

Their leave

Ask for leave
The type, the dates and a reason, in whole days. It is checked against what they have left before it reaches the office.
The answer
Approved or turned down by the office, and shown to them either way. A request still waiting can be cancelled.
Balances and holidays
What is left of each kind of leave this year, the year’s holidays, and a calendar with all of it on.

Their expenses

Their policy
The categories they may claim under, the limit on each, and what they have already spent this year.
Raise a claim
Category, amount, date and what it was for, with up to five receipts of 10 MB each — PDF, JPG, PNG or TIFF. A claim past what is left of the limit is refused when they send it.
Follow it
Pending, approved or rejected — and shown as paid once a payment run in Payroll has settled it.

Each month appears once its salary run is confirmed. This is the one section that needs the Payroll add-on.

What is on it
The month’s attendance — working days, present, leave, holidays, paid days — beside earnings, deductions and net pay in figures and words.

Their details
Personal and contact details, address, employment, documents, bank details, education and experience, as the office holds them.
Read, not changed
They can see all of it and edit none of it. A new address or a new bank account is updated by the office, on their record.

What each person sees follows the parts you have switched on

Nothing appears until their employee record has sign-in switched on. You make the sign-in from the record, from their official email, and switch it off there too.

With the Workforce set, a person sees their record, their check-ins and leave, and their claims. Add Payroll and their payslips appear beside them — a section that is simply not there without it.

What each section asks of them is set per person in the office: whether a selfie is taken, which check-in zone applies, the leave and holidays they follow, and the policy they claim under. Nobody without a policy can raise a claim.

What employee self-service costs

It has no price of its own. It comes with the Workforce set, beside Employees, Attendance and Reimbursements, and payslips appear when you add Payroll.

The set is bought for a number of people, and that number is both how many can be on the rolls and how many can sign in.

Before you switch it on

Questions about employee self-service

The ones an owner asks before handing staff a sign-in, answered as the system stands today.

No. They sign in to your office system in their phone’s browser, or on a computer, and can add it to the phone’s home screen so it opens like an app. Nothing is downloaded from an app store.

No — only the people you switch it on for, from their employee record. Somebody without one is still on the rolls, and the office marks their attendance for them on the daily sheet.

No. They can read their whole record and edit none of it, and they cannot upload documents to it either. When an address or a bank account changes, the office updates the record, and they see the change there.

Not from their side — there is no request for it. They tell the office, and the office corrects that day in the person’s month of attendance, with the times and a note.

No. Each person downloads their own, once the month’s salary run is confirmed — as a page to print or save as PDF, or as CSV. Every earlier month stays there for them too.
