What a record holds
Customer records: the details, how they arrive, one copy each
Every customer has one record. This is what it keeps, how customers get onto it, and how a second copy is kept off.
The record
- Who they are
- An individual or a business, with a display name, company, contact person and designation, and a customer code given automatically.
- Contact
- Email, phone, a second phone and website, and as many other people at the customer as you need.
- GSTIN and PAN
- Checked for the right format as they are entered, with the currency the customer deals in.
- Addresses
- One billing address and one shipping address — or “same as billing” — with the state picked from a list of Indian states.
- Documents
- PDF, images, Word or Excel, up to 10 MB each, shared by link, on WhatsApp or by email.
- Your own fields
- Fields and sections of your own, laid out on the Customer Template.
Arriving without retyping
- From a lead
- Fetch from Lead fills the new customer from a CRM lead — name, type, contact, email, phone, company and billing address — and keeps the link.
- From an order
- An order from your online store, or from a request you priced, finds its customer by phone, then by email, or adds a new one.
- Excel and CSV
- Import your customer list from either, and export it to either.
No second copy
- A warning first
- Add or edit a customer whose email, phone, GSTIN or PAN is already on another record, and you are shown that record. You may still go ahead.
- On import
- A row with the same customer code, email or phone as a customer already listed is put to you to skip, overwrite or merge.
Branches
- Its own list
- Each branch only ever sees its own customers.
- Its own matches
- An order is matched against the customers of the branch it came in to.

Each list appears only when that part is switched on, so a part you have not taken leaves no empty list behind.

Customers comes in the Sales set with CRM and Forms, priced per person per month. Email and WhatsApp are add-ons to the set.

Before you start
Questions about customer records
The ones asked before moving a customer list in, answered as they are — including the ones where the answer is no.
No — there is no login for customers. Their invoices are listed on their page in the office, with the balance due on each, and with the Email add-on you can send them an email from the invoice itself, filled in with its details.
It checks the format. A GSTIN or PAN typed wrongly is caught as it is entered, but the number is not looked up on the GST network, so a well-formed number that belongs to nobody will pass.
No — there are no fields for either, and nothing stops an invoice going over a limit. You can add a field of your own on the Customer Template to note them, as a reminder.
Not as one figure — there is no statement or ledger for the customer. Their page lists every invoice with the balance still due on each, so what is owed is there invoice by invoice.
No — each customer has one billing address and one shipping address. You can add as many contact people at the customer as you need.
