What a record holds
Employee records: the person, the job and the papers
Each person on the rolls has one record, opened from one list. This is what it keeps, and what the list does with them all.
The person
- Personal details
- Name, date of birth, gender, blood group, marital status, nationality and a photo.
- Contact
- Official email and mobile, both required, plus a personal email, a second number, and an emergency contact with their relation.
- Addresses
- Where they live now and their permanent address, each with its city, state and PIN.
The job
- Department and designation
- On the record, and the list filters by both.
- Employment type
- Full-time, part-time, contract, intern or temporary.
- Joining and reporting
- When they started, who they report to, and where they work.
- Status
- Active, inactive, on leave or terminated — the record stays either way.
Papers and pay details
- Documents
- Each with a title, a type you name, its ID number, who issued it, the issue date and a copy of the file.
- Bank account
- Account number, bank, IFSC, branch and account type — the account their salary goes to.
What they bring
- Education
- Institute, degree, field of study, dates and grade.
- Experience and projects
- Earlier jobs with their dates and what the work was, and projects tied to the job they were done in.
- Certificates and licences
- Who issued each, when it was issued and when it expires, and its credential number.
- Skills
- Each with its level.
The list
- Filters
- By status, department and designation, with the active and inactive counts at the top.
- Excel and CSV
- Import from either, export to either. Anyone already listed under the same official email or mobile is shown to you to skip, overwrite or merge.
- Branches
- Each branch only ever sees its own people.
- Notices
- When someone is added or their record changes, the people or roles you choose are told, in the app or by email.
Where it starts
The employee record, and what is made from it
Nothing about a person exists in the office system until their record does. Two things start from it: the way they sign in, and what Attendance knows about them.
Their sign-in
Made from their official email, when you choose to. Switch it off and back on, reset the password — emailed to them if you like — and have them change it when they next sign in. Every sign-in opens the pages staff use for themselves.
What Attendance reads
Kept against the record, one row per person, and chosen in Attendance:
- Shift — late and early are read from it
- Location check-in zone — where they may check in from
- Check-in mode — no location, work from home, or the zone
- Leave structure — how many days of each kind of leave
- Holiday calendar — which days the office is shut
- Week-off policy — which days they do not work

The record is read by the parts around it. This is what each of them takes from it, and where to read about that part.
Attendance →
Their shift, check-in zone, check-in mode, leave, holidays and week-off are set against the record, and the register reads them.
What staff do themselves →
The sign-in made on the record is how they check in, ask for leave, raise a claim and see their payslips.
Payroll →
The bank account goes onto the bank transfer sheet, and the payslip prints their designation, department and joining date.
Forms →
Each record lists the forms that person has submitted, with a button to submit another.
What it costs
The price of employee records
Employees comes in the Workforce set with Attendance and Reimbursements, priced per person per month. Payroll is an add-on to the set.

Paid every three months, the shortest term the set is sold on. Prices exclude GST.
- People on the rolls are seats
- Each seat is one person on the list and one person who can sign in. Buy as many as you have staff.

Before you start
Questions about employee records
The ones an office asks before moving its staff list in, answered as they are — including the ones where the answer is no.
Yes. Import it from Excel or CSV, matching your columns to the record’s. Anyone already on the list under the same official email or mobile number is shown to you, and you choose to skip that row, overwrite the record or merge the two. The list exports the same way.
No — there are no fields named for them. Keep each one as a document on the record, with its number, who issued it, the issue date and a copy of the card. A document whose type you name EPFO is where the payslip reads the UAN from, once you run payroll.
No. A sign-in is made from the record, from their official email, only when you choose to. Without one they are still on the rolls and the office can still mark their attendance. You can switch a sign-in off, switch it back on, and reset the password at any time.
No. There are no onboarding or exit steps, no full-and-final settlement, no appraisals and no organisation chart. When someone leaves you change their status and switch off their sign-in, and their record stays with everything on it.
As many as the seats you have bought — each person on the rolls takes one. At that number the system will not take another record until more seats are bought.
