Your mailbox, sending, templates and letters from the record
Each person reads their own mail inside the office. Letters to customers are written once as templates, and each record fills in its own.

- Your own mailbox
- Each person connects their own, with an app password. Gmail, Outlook and Microsoft 365, Yahoo and Zoho are ready to pick.
- New mail
- Fetched every five minutes, or straight away with Sync now. Trash and spam are left where they are.
- Read and reply
- Folders, messages and the message open, side by side. Reply in the thread, forward, flag or delete.
- Drafts and attachments
- Save a draft and come back to it. Open what arrives attached, and attach files to what you send.
- Search
- Find a message by its subject or by who sent it.
Sending
- From your own address
- Mail written in the inbox can go from your own mailbox, with a copy in its Sent folder.
- Or from the office’s
- Or from a sending profile: an address the office sets up once to send from.
- A fall-back
- Automatic emails try the office’s profiles in order. If one fails, the next one sends it.
Templates
- Built from blocks
- Text, images, buttons, dividers, spacers and social links, dragged into place, in one to four columns.
- Places to fill
- Mark where a name, a number or an amount goes. The record fills it in when the letter is sent.
- Preview
- See it as it lands on a desktop and on a phone.
- Versions
- Undo and redo while you work, and a history of earlier versions to go back to.
- Send a test
- Send one to yourself before a customer gets it.

- The email button on a lead opens a template with the contact person, company and lead code filled in.
- A customer
- Write to a customer from the customer list, with a template.
- Quotations, invoices, payments
- Each is emailed from its own page, with its own details in the letter.
- Read before it goes
- The filled-in details are shown before sending, and any of them can be changed.
- Through the office’s profile
- A letter from a record goes out through one of the office’s sending profiles.

Letters from the record
An invoice email, filled from the invoice
Write the letter once. Each time it goes, the invoice it is sent from supplies its own number, customer and amounts.
- Written once
- A template in the block editor, with places marked for the customer, the invoice number, the total and the due date.
- Sent from the invoice
- Open the invoice, choose email, and pick the template and the sending profile.
- Filled in
- The invoice’s own number, customer, total, amount due and dates go into the places marked for them.
- A link to it
- The letter carries a link to view the invoice online. No PDF is attached.
- Checked first
- Every filled-in detail is shown before sending and can be changed. The link stays as it is.

The struck figure is the list rate; the shortest term is 3 months, and longer terms cost less a month. Prices are before GST. The Sales set brings CRM, Customers and Forms; the Email add-on cannot be bought without it. Templates and sending profiles come with it, and if you need room for more, ask. The mailbox itself is yours: you connect one you already have.

The things a business asks before moving its customer letters over, answered directly — including the ones where the answer is no.
No. The inbox is your own mailbox, read inside the office: mail stays in its folders and is not matched to a lead or a customer. What a record does is send — a letter from a lead, a customer, a quotation, an invoice or a payment goes from that record, with its details filled in.
No. Each person connects their own mailbox and reads their own mail. Letters sent from a record go out through the office’s sending profiles rather than one person’s mailbox.
No. Letters go to one person at a time, and nothing tracks whether they were opened. Writing to a whole list is what bulk sending on Karyalay Email is for.
