Quotations with GST, and what became of each one

Quotation software for Indian businesses: items from your catalogue, GST split line by line, your letterhead, and a status that says what became of it.

What it does

GST quotations: lines, letterhead, link and status

Part of the Finance set. A quotation is written from your catalogue, numbered for you, printed or shared, and followed to what became of it.

Writing the quotation

Items from your catalogue
Each line is an item picked by search, each variant a choice of its own, with its name, SKU, HSN or SAC code and unit.
The price
A line starts at the item’s Retail price, and you can change it on the line. Prices are before tax, and GST is added on top.
GST, line by line
CGST and SGST when the customer is in your state, IGST when they are not, and cess on either — from your branch’s state and the customer’s address.
One discount
Flat or a percentage, on the whole quotation, taken off before tax or after it.
Notes and terms
A subject, your reference, notes to the customer, and your terms and conditions.
Attachments
PDF, pictures, Word and Excel files up to 10 MB each, kept with the quotation.

Numbered and dated

Numbered for you
QTN-00001 onwards, given when the draft is first saved, in one running series across your branches.
Dated
A quote date, and a valid-until date when you want one.
Drafts that lapse
A draft left past its valid-until date is marked Expired overnight. An issued quotation stays open to be invoiced.

Printed and sent

On your letterhead
Your logo, name, address and tax registration numbers at the head, and the customer’s billing and shipping addresses.
Totals in full
Each line with its HSN code, then CGST, SGST, IGST and cess, the total, and the amount in words in lakhs and crores.
Print or save as PDF
The quotation opens as a print-ready A4 page, to print or save as PDF from your browser. A spreadsheet copy too.
A link to share
Switched on once the quotation is issued, with an expiry date if you like. The customer views and prints it there.
By email or WhatsApp
With the Email or WhatsApp add-on, the link goes out with the number, total and dates.

What became of it

Its status
Draft, Issued, Reverted, Invoiced, Expired or Cancelled — where every quotation stands, at a glance.
Reopened for a change
An issued quotation can be reverted, edited and issued again. Only drafts and reverted quotations can be edited.
Made into an invoice
An issued quotation can be made into an invoice without retyping its lines, and is marked Invoiced.
Found again
Search by number, customer, reference or subject; filter by status, customer and dates. The customer’s record lists their quotations.
The month
Quotations made this month, the value quoted, and the share that became invoices.
Activity log
Creation, edits, status changes, exports and deletions are recorded.

What became of it

One quotation, from draft to invoice

A quotation is kept, not just printed. Its status says where it stands, and its lines go on to the invoice.

Drafted

Numbered the moment it is saved, and yours to edit. A draft left past its valid-until date is marked Expired overnight.

Issued

Fixed as the customer sees it, and ready to share by link. An issued quotation does not expire; it waits for an answer.

Reopened for a change

The customer asks for another price or quantity: revert it, edit it and issue it again, under the same number. The edit replaces what was there; no earlier copy is kept.

Made into an invoice

An issued quotation can be made into an invoice without retyping its lines — the discount and totals come too — and it is marked Invoiced. Cancel that invoice, and the quotation is reopened for another change.

    Every quotation is for a customer already saved, with the billing and shipping addresses the page prints.

    Every line is a catalogue item, arriving with its HSN code, unit, tax rates and Retail price.

    A basket a customer asks you to price opens as a new quotation, filled in with the customer and every line.

  4. Invoices →

    An issued quotation can be made into an invoice without retyping its lines, and the invoice keeps a link back to it.

Quotations work with your customers and your catalogue: customers come with the Sales set, and catalogue items with the Operations set.

Quotations come in the Finance set with Invoices and Payments, priced per person per month.

Finance

₹267.30 a person for the 3 months, paid at the start.

Paid every three months, the shortest term the set is sold on. Prices exclude GST.

What the set holds
There is no limit on the number of quotations or invoices you make.
Priced on your seats
Each seat is one person who can sign in, and the set is priced on every seat.

Before you start

Questions about quotations

What a business asks before its quotations move over — including where the answer is no.

No. Every quotation is for a customer saved in Customers, which comes with the Sales set, and every line is an item from your catalogue, which comes with the Operations set. Quotations work with both.

No. The customer can view and print it from the link you share, but there is no accept button and no signature. When they say yes, you make it into an invoice.

No. Nothing turns a quotation into an order; an issued quotation becomes an invoice. A quotation does not read stock or set any aside.

No. Every line is an item from your catalogue, picked by search. Add the item or service to the catalogue first, and it arrives with its HSN code and tax rates.

Not automatically. Every line starts at the item’s Retail price, and you can change the price on any line before you save.

They get a link, not a file. The quotation opens as a print-ready page that you — or they, from the link — can print or save as PDF. With the Email or WhatsApp add-on, the link goes by email or WhatsApp; nothing is attached.
